Surveys that ask “What’s the biggest waste of time at work” consistently have “Too many meetings!” as the most popular response. The PMBOK references many different meetings but does little more than recommend an agenda is always prepared. There’s a lot more to it than that!
In this session, we're going to cover the fundamental factors to be considered when designing and delivering high-value meetings, review a "taxonomy of meetings", a spectrum of facilitation styles, and leave you with references you can follow up and tools you can use immediately, and maybe, just maybe, you can be the source of great meetings in your organization!

We will take common project management meetings, referenced in the PMBOK, and using the distinctions will develop templates designed to ensure that these meetings can be prepared and facilitated to ensure they provide maximum value both as a result of the meetings. As a bonus, we will consider how to design the meeting series, where a sequence of different meeting types will be deliberately used to generate value. Time allowing we may also look at agenda-less types of meetings and the kinds of ad-hoc facilitation techniques and exercises available for them.

• Participants will learn how to design templates for specific types of meetings, and time allowing, how to create sequences of meeting types.
• Bonus, time allowing, participants will be introduced to ad-hoc facilitation techniques.
• Resources and references will be provided for ongoing study and practice.

One of the biggest sources of waste in the organization is poor communication. Meetings are the essential management tool for communication, for decision making, for collaboration, for all key aspects of value creation, and yet they are consistently considered to be low quality (the meeting itself sucked!) and low value (the outcome was not worth the effort required to achieve it). Professional project managers who master meeting facilitation skills can make a dramatic impact on the reduction of waste in their organizations, as well as improving their quality of experience of all their workplace colleagues. Given that a major part of a project manager’s work is to facilitate and create communication in meetings, this can be a game-changer in their effectiveness.
